Managers wear many hats and are responsible for a number of things. Between overseeing direct reports and attending meetings, it can be difficult to find the time for other daily tasks, projects, and professional development. With so many demands, how can you perform the duties of a strong manager while also managing your time effectively? Whether you are a brand new manager or you just want to learn some good techniques, applying the proper time management skills will help you be a more successful leader. Here are some helpful tips for keeping your responsibilities in balance.
Identify Your Most Productive Working Hours
Let’s be honest- no one is productive 24/7. Some people are more energized in the morning while others thrive in the evening. To maximize productivity, identify the hours when you can get the most done and create a reasonable schedule around that time. Trying to force yourself into a schedule that doesn’t work for you only leads to additional stress and frustration. Moving your workday by an hour or so here and there can make your entire day more productive.
Have a Daily To-Do List
Each morning you should have a clear idea of what you hope to accomplish that day. You also need to know what you need to accomplish that week? Jot down the top three to five tasks that come to mind and prioritize them according to importance. Give yourself clear deadlines for each task and spend the first 30-45 minutes of each day working on this list. Physically cross each task off as you complete it to give yourself a sense of accomplishment before moving on to the next task.
Don’t Be a Slave to Your Email
As a manager, you will undoubtedly be swamped with emails on a daily basis. Avoid checking your inbox every time you receive an email. This will only distract you from the task at hand. Instead, set designated times throughout the day when you read and reply to emails. If you have a hard time ignoring the constant pings throughout the day, consider turning off your notifications or other alerts.
Utilize a Calendar
You may have a calendar on your laptop, phone, or even on paper. Choose the calendar that works best for you and record all of your appointments, meetings, task deadlines, etc. If possible, use a calendar that is accessible on all of your devices so you can stay in sync no matter where you are.
Use Management Tools
Fortunately for managers there are countless technology tools and software that can enhance productivity. Tools like Asana, Slack, and Zoom can make so many tasks more efficient, especially with remote working. Not only do these tools streamline our tasks, communication, and responsibilities, but they also provide a one-stop-shop for manager to share information, create agendas, and track progress.
